Facility Booking & Rental Guidelines
Effective July 1, 2025
Baxter Arena Booking
Scheduling parties interested in bringing an event to Baxter Arena may make requests for dates through the Sr. Associate AD / General Manager.
All communications must be made directly with the Sr. Associate AD / General Manager—no third-party communications are permitted.
Event Priority:
- Thursdays – Saturdays (August 1 – March 30): Omaha Athletics, University of Nebraska at Omaha events (e.g., Commencement), and concerts receive first-hold preference (“Athletic Season”).
- Outside the Athletic Season: A “First Hold” will be given to the organization/event/individual requesting specific dates. Baxter Arena will tentatively reserve your requested dates.
Omaha Athletics game schedules are typically completed by September 1, after which weekend dates may become available. Requests for Athletic Season weekend dates may be made at any time but are only confirmed once Omaha Athletics schedules are finalized. If written confirmation is not received, holds will automatically be released.
Hold Process:
- Holds may be placed by phone, followed by written confirmation within 24 hours (via email or official letterhead).
- If written confirmation is not received within 24 hours, the verbal hold will be released.
- After receiving written confirmation, organizations must contact the Sr. Associate AD / General Manager within 7 days to provide a status update (progress, cancellation, or moving forward).
- If another group requests the same dates, the first group will be required to pay a non-refundable deposit and sign a contract within a specified time frame. Failure to do so will release the dates.
Rental Rates
- Concert / Ticketed Events: Greater of $25,000 flat rate or 15% of Adjusted Gross Ticket Receipts, plus reimbursable expenses, facility fees, and equipment costs.
- Community-Ticketed / Private Rentals: $13,000 per 4-hour event, plus reimbursable expenses, facility fees, and equipment costs.
- Rate Adjustments:
- May be negotiated lower based on food, beverage, or merchandise profit potential.
- Subject to increase for state and nationally recognized holidays.
All rental fees, estimated reimbursable expenses, and equipment costs must be paid in advance as outlined in the License Agreement.
Booking Requirements:
- All prospective clients must complete a “Book An Event Form” unless they are a repeat client.
- Baxter Arena will evaluate event applications based on:
- Comparison to other event applications
- Event feasibility
- Applicant’s experience and references
- Financial capability
- Availability of requested dates
- Submission of an application does not guarantee approval.
- No dates will be held without an approved Rental Application.
Holland Ice Booking
Groups interested in hosting an event at Baxter Arena’s Holland Ice may request dates through the Ice Operations Manager:

- Athletics schedules are typically finalized by September 1; additional weekend dates may open afterward.
- Requests for Athletic Season weekend dates can be submitted at any time but will only be confirmed once schedules are finalized.
- Dates are reserved on a first-come, first-served basis.
Rental Rates
- Tenant (booking 3+ months annually): $300/hour
- Non-Tenant: $325/hour
